This Privacy Notice explains how Synergy Cabinets ("we", "us") collects, uses and protects personal data when you use our plan-reading service (the "Service"). Synergy Cabinets is the data controller for the personal data described below.

1. Data we collect

  • Account data — name, email address, password hash, workshop name and contact details you provide.
  • Uploaded content — cabinet plans (PDF, JPG, PNG), parts lists, project metadata (customer name, job number, site address, designer).
  • Usage & telemetry — log of actions, device identifiers, IP address, browser type, timestamps.
  • Support messages — anything you send us through email or in-app support.
  • Payment metadata — subscription tier and status (full payment card details are handled by Paddle, not stored by us).

2. Why we use it

  • Create and operate your account (contract performance).
  • Read your plans, generate parts lists, and store your projects (contract performance).
  • Provide customer support (contract performance / legitimate interests).
  • Protect the Service against fraud and abuse (legitimate interests).
  • Improve the product, including AI quality (legitimate interests).
  • Send service emails (contract performance). Marketing emails only with consent.
  • Comply with our legal and tax obligations (legal obligation).

3. Who we share data with

  • Hosting & infrastructure providers who run our database, file storage and Edge compute.
  • AI providers who process the contents of uploaded plans solely to extract parts lists, under written data-processing terms.
  • Paddle, our Merchant of Record, for processing payments, subscription management, tax compliance and invoicing.
  • Professional advisers (legal, accounting) where necessary.
  • Authorities where required by law.

We do not sell personal data.

4. Retention

We keep account data for as long as your account is active. Uploaded plans and parts lists are retained until you delete them or close your account. After closure we delete or anonymise personal data within a reasonable period, except where we are required to keep it (for example, invoicing records for tax purposes).

5. Your rights

Depending on where you live, you may have the right to:

  • access the personal data we hold about you;
  • request correction or deletion;
  • object to or restrict certain processing;
  • request a portable copy of your data;
  • withdraw consent where processing is based on consent;
  • lodge a complaint with a data protection authority.

6. International transfers

Our service providers may process data outside your country. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses or adequacy decisions) to protect that data.

7. Security

We use appropriate technical and organisational measures, including encryption in transit, access controls and audit logging. No system is perfectly secure, but we work to minimise risk.

8. Cookies

We use cookies and similar storage strictly necessary to keep you signed in and to operate the Service. We do not currently use advertising or third-party tracking cookies.
